Setting up your Sprout Payroll account is easy. Once you log in for the first time, you will be greeted with the Home screen, which has 3 simple steps for you to follow for Sprout Payroll success. To begin, click the Company Setup button:
A window will pop up with 3 options. For first time employee setup, click Employees:
This will launch the Employees screen. If you have any employees already registered, you will see them listed on this screen:
This tutorial covers adding employees, so we will walk through that process now. There are 2 ways to add employees – online or by file upload. Which method you use depends on how many employees you have to upload.
A. Adding Employees Online
If you have few employees, you can upload online. Add employees using the Add Record button. This works great for small companies. Simply click the Add Record button here:
The Add Record button will launch the Add Employee screen. On this screen, fill in all the fields to register your employee in your company’s Sprout Payroll database.
After filling in at least the required fields (marked with an *asterisk). Click the Save button:
As easy as that, you have added your employee to your Sprout Payroll database! After clicking Save you will be taken back to the Employees screen. I’ve added two employees to my database this way, and you can see them populated in my Employees screen.
B. Adding Employees via Import Excel
What if you have a large company with many employees? In this case the best option is to import all your employees at once using excel. To begin, click the Import Excel button here:
That will launch the upload/download window. Important: You must click the Download Excel Template button to download the excel template for employee detail upload. Click that link to start the download:
Your download will begin automatically in most browsers. Otherwise, choose to save it on your system where you can open and edit it immediately. Now that it is on your system, open the file. You will see the rows to be filled out. We have taken the liberty of filling in the top row with an example row:
For this setup, you will fill in each row with employee data to be uploaded to your database. Once finished, save your file on your computer where you can easily find it.
I’ve filled in the excel sheet with some dummy data for this example. You can see I added 13 employees, required info only. I saved this on my system.
Now you should have an excel file filled in with all your employee data, saved on your system where you can easily find it.
Go back to your internet browser and again click the Import Excel button.
Click the Select button to find the excel file you just filled in with your employee’s data.
Navigate to where you stored the excel file and select it for upload. You will see the name of your excel file populate there in the window. Click the Import File button.
The app will display a success message, and you should see the employees you entered in the spreadsheet updated in the system. Remember I added those 13 employees? The success message confirms that I uploaded 13 employees successfully.
And you can see my employee list has updated with all the employees I added from that file.
